    Recap on Funding Grants: $1150 received through Coromandel Creative Arts and Industries Advisory Board Arts from Creative Communities NZ for the BADO over Queens Birthday weekend.
  • Scheduling frequency of general meetings and coffee mornings.
This remit is being forwarded on behalf of several colleagues to be read out, then discussed by the Arts Collective members present.
We propose that a general meeting of the Collective be held bi-monthly.
We are an Incorporated Society, therefore we should have a closer connection between the committee and the collective.
We would all like to be involved in the discussion of ideas and proposals rather than receiving decisions via e-mail.
Our delightful coffee mornings which provide occasions to share in friendship, could be in the intervening months.
Our coffee mornings are for relaxation, and should not be for Collective business.

  • To continue with Monthly Coffee Mornings and have Four General Meetings per year with meetings held within at least 1 month of big events.

2.1 Notice of Motion:
Formation of an Incorporated Society
A resolution was passed to prepare an Incorporated Society Application and Incorporated Rules Document to form an Incorporated Society called “Arts Collective Whangamata Incorporated”             Resolved
The Executive committee to prepare and submit an Incorporated Society Application complete with supporting documents, including signatories, witness and fees ASAP.

2.2 Appointment of an Auditor:
Sue Priest (Registered Accountant) was appointed Auditor. A fee is to be negotiated.

3 General Business:

15 signatories were required and obtained from meeting attendees for the formation of an incorporated society application.

The Chairperson, Terry Walker to approach a local JP / Solicitor to witness the Incorporated Society Application.  The Treasurer to arrange an application payment for the Incorporated Society
Application: $102.22.

3.1 There was discussion around the concern expressed by Adrienne Aislabe and Jo Le Noel regarding the name of the Arts Collective in that they feel its needs to have the word, ‘craft’ included somewhere. Another opinion was to keep the name as ‘Arts’ for the time being and to educate the community as in the inclusion of all the Arts. It was also noted that the word ‘Collective’ implies inclusion.

The attached optional heading to the Purposes and Aims of the Arts Collective Rules is included for members comment. The words Arts people like Weavers, Artisan, Sculptures has been included.
Action: This revised wording is to better describe the participants of the Arts Collective Whangamata Incorporated Society and requires you to advise the Committee on you acceptance to this wording change by 9th July please.

3.2 Bank Account and Signatories
Executive Committee Member (Bernie Ross) has organised new signatories for account held by Kiwi Bank at Waihi. (Joanne Mahonney, Bernie Cox, Gretha Whyte).
Noted: The new Executive Committee Treasurer, Marie Burt will advise the Executive Committee if the Arts Collective Bank Account should be moved to a local bank for greater convenience.

3.3 An Annual membership of $10.00 was suggested and agreed to by the meeting attendees. Many people completed and paid for membership at the Inaugural AGM.
Applications forms will be available at the next coffee morning or at Coastal News.
Please put your payment with $10 in a marked envelope. A Membership Number and receipt will be provided.

Other General Business
4 Ngaire Leighton queried whether membership must be by individuals or could be a group;
Resolved; The Meeting agreed that Arts Collective Membership is on individua  
basis but a person may apply for membership as a representative for a group, eg: Weavers.

4.1 A request was made by Adrienne Aislabe that the committee consider other plans ofcommunity groups to avoid clashes on the calendar.

Resolved: The Chairperson (Terry Walker) replied that the executive committee would develop an Events Calendar with that in mind.

4.2 Representation onto the Coromandel Arts board:  A representative from the Whangamata Arts Collective along with a representative from the Whangamata Community Board will be appointed to represent Whangamata on the Coromandel Arts Advisory Board. This person will be selected at the next Executive Committee Meeting.

4.3 Lyn Osmer from Creative Communities Board wished to invite someone to represent the Arts Collective Whangamata on that organisation. This will require further investigation to better understand the role of Creative Communities as it is administered by TCDC Thames.

4.4 The Chairperson (Terry Walker) informed the meeting that funding applications for Community Grants opens on 1 st July and the Arts Collective should consider an application. The executive committee would look into at next meeting.

4.5 General Meetings: The General Meeting for the Whangamata Arts Collective is recommended be quarterly/ Members will be notified by email and via Coastal News. This will be confirmed at the next General Meeting with a motion and voted on.

4.6 The meeting agreed that a monthly coffee morning for collegial connection of Arts Collective members was important. The first coffee morning will be:
Coffee morning: Thursday, July 7, 10am, Nita Peterson’s home, 421 Given Ave (where Mary Rd meets Given Ave).

4.7 The Arts trail brochure is coming up for its second printing. Please email Karyn Hitchman if you wish to be added to the list of studios, contacts or groups:

4.8 The wall hanging made in the workshop at the “Big Arts Day Out” has been provided by Gaylene for display in the community.
The Executive Committee to decide on a suitable place to display it, withconsideration to the Library or Infomation Centre.

1. The steering group of the Arts Collective wanted to emphasise that the Arts Collective includes all visual art and crafts as well as the Arts disciplines of Music, Theatre, Writing.

2.  Paul gave an overview of the concept of a formalised Arts Collective in the form of a Trust or an Incorporated Society (explained further below). As a Trust, this is to have a governance body (board of trustees) and to open up funding streams. As a charitable trust, it will be tax-free. Terry Walker from Whangamata Community Board informed the meeting that funding can be applied for from Community Trust Board and the Arts Strategy of TCDC

3.  A form was passed around for people to indicate their interest in being on the Trust and/or Committee. It was suggested a follow-up email be sent to those people who indicated their interest in being on the Trust or Committee. 

4.  AGM set for Thursday, June 30, 5:30pm, Lounge, Whangamata Club. Nominations will be taken for the Trust and Committee at the AGM.

5.  Paul gave an explanation that being on the Committee does not have to be a huge commitment. There will need to be formal positions for the Trust: Chairperson, Treasurer, Secretary, IT/media officer, legal advisor. Other members should be strategic thinkers. Attendees encourage to think of people with these skills to nominate/approach.

6.  A form was passed around for people to indicate their interest in being included in the Arts Trail brochure as either artist studio or a contact for one of Arts Disciplines. Karyn sent around a mock-up of the brochure.

7.  Discussion about the Exhibition and Workshop Day: June 4, 10am – 4pm. 
*It was explained that this is planned to showcase the vibrant creativity of the Arts in our community. And because we have the educational/community rate for this day, there needs to be an emphasis on teaching, demonstration and workshops. $5 per space to cover rental costs.

A further form was passed around for people to indicate their interest in being a part of this exhibition day and whether they would like to exhibit only or have a demonstration or workshop as well. 
*Discussion about having the kitchen run either by volunteers or as a fundraiser for teas etc. Nita to approach Blackies to see if they interested in some sort of coffee cart. This will be further discussed at the planning meeting.

*School groups to be a big part of the day. As there were no school reps at the meeting, there will be further liaison with school reps of Visual Art, Music, Kapa Haka. Sue Watson (music) and Lynne will communicate further with them.

*Sue expressed that it is important to involve Health Services on the exhibition workshop day, eg Moana House. They will be approached to see how they might be involved.

8. Planning meeting for exhibition day Thursday, May 19, 4pm (set at a later time for school reps). Anyone that would like to contribute is encouraged to attend this meeting.

9. Hello Everybody,congratulations on making it happen! Pulling together to create a superb inaugural event.

The exhibition was humming with interested people all weekend, giving great exposure and raising the profile of the Arts in Whangamata.Having it alongside the market day by Enterprise Whangamata was a great move to ensure the town was buzzing with activity.The chalk bomb outside the Art Gallery was much enjoyed by children & adults alike, the chalk signs on the pavement working well to direct visitors to our Pop Up Exhibition venue at 715 Port Road.A cheap quick marketing tool, something that we can do again with the stock of handmade non toxic chalks produced for the chalk bomb.
Feedback Feedback was very positive. There a few things we can do better next time, such as space allocation, but hey, I think we did well for our inaugural event.Money raised from gold coins and donations has been used to give the building owners a handsome thank you gift and any leftover money will go towards a banner for our next event. 
Yarn Bomb Port Road Gallery has taken the lead on this one and already installed one mini Yarn Bomb, now to make it spread. Take a look next time your passing, can’t miss it . . .Please contact me if your interested in Ninja Knitting, subversive Guerrilla Crochet or plain old Knit & Natter.Lets brighten town up for summer.
Next Event Arts Collective is now planning to do it again on Labour Weekend October Set up Friday 23rd October Exhibition open for the weekend of 24th & 25th(so long as the building is still available, if not we are working on a plan B to find another empty shop)
Another market day is planned for Sunday 25th October by Enterprise Whangamata to encourage people to stay in town after the Lions Market on the Saturday.
Please spread the word, we would like to have more music, pottery, 3d arts, etc.Perhaps Ukulele Club & Theatre or Dance Groups, etc, would just like to have space to promote their activities show people whats available in town.

Date of next meeting Wednesday 14th at 1:30 pm, Whangamata Club upstairs room  (TBC)To talk about Labour weekend event and progress reports on our short term goals from the steering group.Also we are working on some loose guidelines for participation in the collective.

At our productive meeting yesterday, we collectively made some major decisions the first of which as you will have noticed is an identity.
  • Name: After some discussion about the short listed favourites and a last minute addition to the mix. A vote decided upon Arts Collective (South Eastern Coromandel)

  • Working Group: Arts Collective will utilise the umbrella of Enterprise Whangamata Inc/Info Plus in the short term, by the creation of a sub committee of EW. This is tasked with being a working group to steer the collective over the next 6 - 12 months comprising of:-
    • Christina Scurr
    • Bernie Ross
    • Greta Whyte
    • Karyn Hitchman
    • Kate Jones Madill
    • Lesley staniland.
  • Long Term: The longer term aim to create an Arts Collective Incorporated Society or perhaps a Trust with charitable status, this will be explored by the working group.
  • Event: First event will be Sunday 13th September, the G J Gardener Run Walk Festival weekend.

EW has organised a Market Day to encourage visitors to stay on over the weekend for a bit of breakfast, lunch and lots of shopping.
Retailers have responded positively to the call for bargain tables outside shops. Space will be available for Arts Collective and local buskers, face painting, chalk bombing, fund raisers and demonstrations.
Why not raise funds or the profile of your group by doing something?

The Chalk Bomb will be starting at the Gallery 10 am, one great idea was to mark the street with footsteps and arrows to lead people to our Arts Collective displays.
Just organise a table and let Christina know you need a place on Port Road by 27th August please.
No table? No problem! Tables are available for hire/loan from Hire Centre or The Lions and other sources.
Just hope for good weather.

Another brain wave was to ask the owners of the fence between Jennian & Sunnies to allow Art on the railings, more space to display wares - weather permitting.

NEWS FLASH: Thanks to Lesley Staniland we have secured the use of the empty former 100% store on Port Road, with a Big thank you to Helen & Andre Hickson for supporting the Arts.
Next step is to get the key, take a look and organise the space (may need a clean?)
Working bee to be arranged.

Yarn Bombing?
An important point raised by Jo Le Noel was that yarn and wool that would be required for a yarn bomb is currently being taken up and made into Operation Cover up blankets & throws. So if this is to happen a source of cheap or better still free acrylic yarn or similar would have to be found. So that it does not compete with their worthy cause.
 
Next meeting:  Wednesday 16th September to go over the first event and plan the next.

Agenda
  • Formalise the group, Co Opting volunteers who will make things happen by utilising the umbrella of Enterprise Whangamata Inc, who are the business networking association and also run Info Plus visitor centre by creating an Arts+ sub committee as a short term umbrella organisation. It gives a support network, exposure through Info Plus and the legitimacy of an Inc Society meaning that as a group we have a voice and can start applying for funding sooner rather than later.  

  • Finalise an identity/brand for the collective Arts in Whangamata. These favourites came from the last workshop
    • Arts + (or Plus)
    • Arts Link (or Ink/inc)
    • Arts Hub (but there is a Youth Hub already)
  • Events for G J Gardener Run Walk weekend 12th - 13th September, only four weeks away. So far EW is organising a retail/community market for Sunday and local buskers. 
  • Events for Brits at the Beach week in early October.
  • Resources: equipment availability such as looms, printing presses etc, materials for recycling into projects such as spare paint, yarn, studio spaces to construct or make things, etc.

  • Performances - Street theatre, Thespian Flash mobs
  • Art Flash Mob - Art Attacks, mob turns up and decorates/changes something random.
  • Literature  - Writing & Poetry Workshops, readings.

Wednesdays meeting saw 18 people from various creative disciplines - a great turn out, thank you everybody for taking time to be part of whats happening.
Lots of new faces too, for or those who had not been before we had a quick introduction session followed by a brief overview of our aims following this ground swell of support.

We discussed
  • Buildings, spaces and places to form a creative arts centre.
  • Ideas for arts events for visitors and locals both young and old to bolt onto existing events in the short term, in the longer term building up to our own Arts festival.
  • Creating an identity/brand for the collective Arts in Whangamata. These favourites came from a brain storming workshop
    • Arts Link (or Ink/inc)
    • Arts Hub (there is a Youth Hub already)
    • Arts + (Plus)
  • Formalising a group structure, identifying the volunteers who will make things happen.
  • Enterprise Whangamata Inc who are the business networking society and run Info Plus visitor centre has offered support by way of creating an Arts+ sub Committee as a short term umbrella organisation.  Comprised of a team co opted on to the committee.  Which does solve a lot of the immediate problems, it gives a support network, exposure through Info Plus and the legitimacy of an Inc Society meaning we have a voice and can start applying for funding sooner rather than later.  
  • Support from Community board.
  • Chances of TCDC funding other sources such as Lotteries, Trust Waikato, Lion foundation, etc.
  • Wintec offer of support - for a Matariki Arts Festival, they could help with an internship later on.
  • Community Gardens - Kay Baker has offered support and a site where events can be held. Next big event is Scarecrows on Nov 7th
  • Events are planned to pad out the Run Walk Festival - Sunday 13th a street market, buskers and a Chalk Bomb at the gallery. 
  • Fund raising ideas - making DIY kits, chalk, slime and play dough for example to raise some funds. have a group workshop to make, pack & distribute.

No objection were raised to using EW as the umbrella organisation, so, I would like to invite anybody interested in being part of group structure to get in touch with me - Christina, with a view to being Co opted onto the Arts sub committee of Enterprise Whanagamata as the Arts Plus or + or Arts Link whatever we choose. Now we have almost have an identity I think we will now be ready to take things further.

    • Shop Windows - pop up displays in high street shop windows “ An Artist in your window”
    • Sit & Knit - get people to stop, sit down and discuss the arts, get feed back from the community
    • Beach Access Marker Poles or street furniture - create an arts trail. Imagine them painted, papered, wrapped, knitted, woven?
    • Flags on street lights along the High Street - each decorated by different artists, groups, school, in different mediums.
    • Art Competition - High profile, big prizes, sponsored.
    • Art & Craft Exhibitions/Displays - Popup, shop window art installations
    • Performances - Street theatre, Flash mobs
    • Flash Mob - Art Attack, mob turns up and decorates/changes something random.
    • Literature  - Writing & Poetry Workshops, readings.
    • Wearable Arts - perhaps masked parade, masked ball?
    • Shoe box competition - sculpture any medium to fit inside a shoe box or indeed a painted show box itself.
    • Art Tours, Special Evenings - How to look at Art

What a brilliant meeting we had, with the help of Paul Bradley of Creative Waikato we have made huge strides towards identifying and actually realising some of our goals. 

All those who attended will be pleased to know that they have contributed to the TCDC regional arts strategy compiled by Hilary Falconer.
