Walker / B. Ross<br /><br /><strong>2.2 Appointment of an Auditor:</strong><br />Sue Priest (Registered Accountant) was appointed Auditor. A fee is to be negotiated.<br /><br /><strong>3 General Business:</strong><br /><u>Incorporated Society Application Form and Signatories</u><br />15 signatories were required and obtained from meeting attendees for the formation of an incorporated society application.<br />The address for registered office of the Arts Collective Whangamata Incorporated is:<br />The Secretary Arts Collective Whangamata<br />102 Moore Place, Whangamata 3620<br /><br /><u>Address for communication: The Chairperson, Arts Collective Whangamata</u><br />27 Brenton Place Whangamata 3691.<br />The Chairperson, Terry Walker to approach a local JP / Solicitor to witness the Incorporated Society Application. &nbsp;The Treasurer to arrange an application payment for the Incorporated Society<br />Application: $102.22.<br /><br /><strong>3.1 </strong>There was discussion around the concern expressed by Adrienne Aislabe and Jo Le Noel regarding the name of the Arts Collective in that they feel its needs to have the word, &lsquo;craft&rsquo; included somewhere. Another opinion was to keep the name as &lsquo;Arts&rsquo; for the time being and to educate the community as in the inclusion of all the Arts. It was also noted that the word &lsquo;Collective&rsquo; implies inclusion.<br /><br />The attached optional heading to the Purposes and Aims of the Arts Collective Rules is included for members comment. The words Arts people like Weavers, Artisan, Sculptures has been included.<br /><u>Action:</u> This revised wording is to better describe the participants of the Arts Collective Whangamata Incorporated Society and requires you to advise the Committee on you acceptance to this wording change by 9th July please.<br /><br /><strong>3.2 Bank Account and Signatories</strong><br />Executive Committee Member (Bernie Ross) has organised new signatories for account held by Kiwi Bank at Waihi. (Joanne Mahonney, Bernie Cox, Gretha Whyte).<br /><u>Noted:</u> The new Executive Committee Treasurer, Marie Burt will advise the Executive Committee if the Arts Collective Bank Account should be moved to a local bank for greater convenience.<br /><br /><strong>3.3 An Annual membership</strong> of $10.00 was suggested and agreed to by the meeting attendees. Many people completed and paid for membership at the Inaugural AGM.<br />Applications forms will be available at the next coffee morning or at Coastal News.<br />Please put your payment with $10 in a marked envelope. A Membership Number and receipt will be provided.<br /><br /><strong>Other General Business</strong><br /><strong>4</strong> Ngaire Leighton queried whether membership must be by individuals or could be a group;<br /><u>Resolved</u>; The Meeting agreed that Arts Collective Membership is on individua &nbsp;<br />basis but a person may apply for membership as a representative for a group, eg: Weavers.<br /><br /><strong>4.1</strong> A request was made by Adrienne Aislabe that the committee consider other plans ofcommunity groups to avoid clashes on the calendar.<br /><br /><u>Resolved</u>: The Chairperson (Terry Walker) replied that the executive committee would develop an Events Calendar with that in mind.<br /><br /><strong>4.2 Representation onto the Coromandel Arts board</strong>: &nbsp;A representative from the Whangamata Arts Collective along with a representative from the Whangamata Community Board will be appointed to represent Whangamata on the Coromandel Arts Advisory Board. This person will be selected at the next Executive Committee Meeting.<br /><br /><strong>4.3 </strong>Lyn Osmer from Creative Communities Board wished to invite someone to represent the Arts Collective Whangamata on that organisation. This will require further investigation to better understand the role of Creative Communities as it is administered by TCDC Thames.<br /><br /><strong>4.4</strong> The Chairperson (Terry Walker) informed the meeting that funding applications for Community Grants opens on 1 st July and the Arts Collective should consider an&nbsp;<span>application. The executive committee would look into at next meeting.</span><br /><br /><strong>4.5 </strong>General Meetings: The General Meeting for the Whangamata Arts Collective is recommended be quarterly/ Members will be notified by email and via Coastal News. This will be confirmed at the next General Meeting with a motion and voted on.<br /><br /><strong>4.6 </strong>The meeting agreed that a monthly coffee morning for collegial connection of Arts Collective members was important. The first coffee morning will be:<br /><strong>Coffee morning: Thursday, July 7, 10am,</strong> Nita Peterson&rsquo;s home, 421 Given Ave (where Mary Rd meets Given Ave).<br /><br /><strong>4.7 </strong>The Arts trail brochure is coming up for its second printing. As a Trust, this is to have a governance body (board of trustees) and to open up funding streams. As&nbsp;a charitable trust, it will be tax-free. Terry Walker from Whangamata Community Board informed the meeting that funding can be applied for from Community Trust Board and the&nbsp;Arts Strategy of TCDC<br /><br />3. &nbsp;A form was passed around for people to indicate their interest in being on the Trust and/or&nbsp;Committee. It was suggested a follow-up email be sent to those people who indicated their&nbsp;interest in being on the Trust or Committee.&nbsp;<br /><br /><strong><span><font color="#da8044">4. &nbsp;AGM set for Thursday, June 30, 5:30pm, Lounge, Whangamata Club. Nominations will be&nbsp;taken for the Trust and Committee at the AGM.</font></span></strong><br /><br />5. &nbsp;Paul gave an explanation that being on the Committee does not have to be a huge&nbsp;commitment. There will need to be formal positions for the Trust: Chairperson, Treasurer,&nbsp;Secretary, IT/media officer, legal advisor. Other members should be strategic thinkers.&nbsp;Attendees encourage to think of people with these skills to nominate/approach.<br /><br />6. &nbsp;A form was passed around for people to indicate their interest in being included in the Arts&nbsp;Trail brochure as either artist studio or a contact for one of Arts Disciplines. Karyn sent&nbsp;around a mock-up of the brochure.<br /><br /><span><strong><font color="#da8044">7. &nbsp;Discussion about the Exhibition and Workshop Day: June 4, 10am &ndash; 4pm.&nbsp;</font></strong></span><br />*It was explained that this is planned to showcase the vibrant creativity of the Arts in our&nbsp;community. And because we have the educational/community rate for this day, there needs&nbsp;to be an emphasis on teaching, demonstration and workshops. $5 per space to cover rental&nbsp;costs.<br /><br />A further form was passed around for people to indicate their interest in being a part of this&nbsp;exhibition day and whether they would like to exhibit only or have a demonstration or&nbsp;workshop as well.&nbsp;<br />*Discussion about having the kitchen run either by volunteers or as a fundraiser for teas etc.&nbsp;Nita to approach Blackies to see if they interested in some sort of coffee cart. This will be&nbsp;further discussed at the planning meeting.<br /><br />*School groups to be a big part of the day. As there were no school reps at the meeting,&nbsp;there will be further liaison with school reps of Visual Art, Music, Kapa Haka. Sue Watson&nbsp;(music) and Lynne will communicate further with them.<br /><br />*Sue expressed that it is important to involve Health Services on the exhibition workshop&nbsp;day, eg Moana House. Pulling together to create a superb inaugural event.</span><br /><br /><span>The exhibition was humming with interested people all weekend, giving great exposure and raising the profile of the Arts in Whangamata.Having it alongside the market day by Enterprise Whangamata was a great move to ensure the town was buzzing with activity.The chalk bomb outside the Art Gallery was much enjoyed by children &amp; adults alike, the chalk signs on the pavement working well to direct visitors to our Pop Up Exhibition venue at 715 Port Road.A cheap quick marketing tool, something that we can do again with the stock of handmade non toxic chalks produced for the chalk bomb.</span><br /><u><strong>Feedback</strong></u><span>&nbsp;Feedback was very positive. There a few things we can do better next time, such as space allocation, but hey, I think we did well for our inaugural event.Money raised from&nbsp;gold coins&nbsp;and donations has been used to give the building owners a handsome thank you gift and any leftover money will go towards a banner for our next event.&nbsp;</span><br /><strong><u>Yarn Bomb</u>&nbsp;</strong><span>Port Road Gallery has taken the lead on this one and already installed one mini Yarn Bomb, now to make it spread. Space will be available for Arts Collective and local buskers, face painting, chalk bombing, fund raisers and demonstrations.</span><br /><span>Why not raise funds or the profile of your group by doing something?</span><br /><br /><span>The&nbsp;</span><strong>Chalk Bomb</strong><span>&nbsp;will be starting at the Gallery 10 am, one great idea was to mark the street with footsteps and arrows to lead people to our Arts Collective displays.</span><br /><span>Just organise a table and let Christina know you need a place on Port Road by 27th August please.</span><br /><span>No table? No problem! Tables are available for hire/loan from Hire Centre or The Lions and other sources.</span><br /><span>Just hope for good weather.</span><br /><br /><span>Another brain wave was to ask the owners of the fence between Jennian &amp; Sunnies to allow Art on the railings, more space to display wares - weather permitting.</span><br /><br /><strong>NEWS FLASH:</strong><span>&nbsp;Thanks to Lesley Staniland we have secured the use of the empty former&nbsp;</span><strong>100% store</strong><span>&nbsp;on Port Road, with a Big thank you to Helen &amp; Andre Hickson for supporting the Arts.</span><br /><span>Next step is to get the key, take a look and organise the space (may need a clean?)</span><br /><span>Working bee to be arranged.</span><br /><br /><strong>Yarn Bombing?</strong><br /><span>An important point raised by Jo Le Noel was that yarn and wool that would be required for a yarn bomb is currently being taken up and made into Operation Cover up blankets &amp; throws. So if this is to happen a source of cheap or better still free acrylic yarn or similar would have to be found. These favourites came from a brain storming workshop<ul><li>Arts Link (or Ink/inc)</li><li>Arts Hub (there is a Youth Hub already)</li><li>Arts + (Plus)</li></ul></li></ul><ul><li>Formalising a group structure, identifying the volunteers who will make things happen.</li></ul><ul><li>Enterprise Whangamata Inc who are the business networking society and run Info Plus visitor centre has offered support by way of creating an Arts+ sub Committee as a short term umbrella organisation. &nbsp;Comprised of a team co opted on to the committee. &nbsp;Which does solve a lot of the immediate problems, it gives a support network, exposure through Info Plus and the legitimacy of an Inc Society meaning we have a voice and can start applying for funding sooner rather than later. &nbsp;</li><li>Support from Community board.</li></ul><ul><li>Chances of TCDC funding other sources such as Lotteries, Trust Waikato, Lion foundation, etc.</li></ul><ul><li>Wintec offer of support - for a Matariki Arts Festival, they could help with an internship later on.</li><li>Community Gardens - Kay Baker has offered support and a site where events can be held. Next big event is Scarecrows on Nov 7th</li></ul><ul><li>Events are planned to pad out the Run Walk Festival - Sunday 13th a street market, buskers and a Chalk Bomb at the gallery.&nbsp;</li></ul><ul><li>Fund raising ideas - making DIY kits, chalk, slime and play dough for example to raise some funds. have a group workshop to make, pack &amp; distribute.</li></ul><br /><strong>No objection were raised to using EW as the umbrella organisation, so,&nbsp;I would like to invite anybody interested in being part of group structure to get in touch with me - Christina, with a view to being Co opted onto the Arts sub committee of Enterprise Whanagamata as the Arts Plus or + or Arts Link whatever we choose.
